Researchers Bibliographies

An important and responsible service provided by the Library of the Faculty of Electrical Engineering is the entry and maintenance of researchers’ personal bibliographies in the COBISS system.

The purpose of this activity is to collect data for personal and habilitation bibliographies, to provide an overview of research activity within the home institution, and to support the evaluation of research performance of individuals, groups, and/or research organisations at the national level. The service is carried out by specially trained librarians holding official licenses for active work in the COBISS system.

For employees of the Faculty of Electrical Engineering, this service is free of charge. The same applies to doctoral students for the entry of publications that are required under the Regulations for the successful completion of their doctoral studies. Other publications are subject to a fee in accordance with the valid price list.

Upon prior agreement, we can also provide bibliography entry services for external users. In such cases, the service is charged according to the valid price list. For legal entities, the service is provided on the basis of an official purchase order.

For the entry of publications and/or completed works, the author’s active cooperation with the library is essential, as this ensures greater reliability, accuracy, and credibility of the recorded data.

Document Entry

Required Documentation

The following documents are required for entering personal bibliographies into the COBISS system:

  • FORM for maintaining researchers’ bibliographies (currently available in Slovenian),
  • the primary source (conference proceedings, book, journal, photocopy or PDF of the article/contribution, etc.),
  • relevant supporting documents (reviews, invitations, certificates, correspondence, etc.),
  • the defined Typology of Documents/Works (currently available in Slovenian) for maintaining bibliographies in the COBISS system, together with the Additional Guidelines for Cataloguing Bibliographic Units (currenlty available in Slovenian) used in the evaluation of research performance.
    Authors are primarily responsible for the correct classification of bibliographic units according to the typology; however, classification may also be determined by a subject field expert.

Records NOT Created in COBISS

The following items are not entered into the COBISS system:

  • organisation of events/conferences,
  • awards (these belong in personal biographies),
  • encyclopedia or lexicon entries containing fewer than 200 characters where authorship is not clearly indicated,
  • unpublished materials for meetings, symposia, or conferences,
  • long-term visits to foreign universities (these belong in personal biographies).

Such information should be included in the BIOGRAPHY, not in the bibliographic record.

Verification

The appropriateness of the assigned scientific typology is subsequently reviewed and verified by the Central Specialised Information Centres (OSICs).

If an author disagrees with a modified typology assigned by an OSIC, they may file an appeal:

  1. First, to the OSIC that reviewed and verified the document.

  2. If the author still disagrees with the OSIC’s explanation, they may appeal to the appropriate Scientific Research Council of the Slovenian Research and Innovation Agency (ARRS) in one of the following fields:
