Procedure and instructions for the final thesis

Topic registration

The thesis is defined as a year-long compulsory course in the final year of study, which is weighted at 6 KT. The thesis may be undertaken by a student who is regularly enrolled in the final year of study.

At the beginning of the academic year, the student chooses a mentor, who is a higher education teacher at the Faculty of Electrical Engineering. The thesis co-mentor may be a higher education teacher or an expert from the practical field with at least the same level of education as the graduate of this study programme.

The student registers the topic in the study information system (Studis) and the mentor confirms the mentoring by 31 October of the current academic year at the latest.

Submitting the disposition

The student chooses the title and topic of the thesis in consultation with the mentor. By 16 February 2024, the student submits to the study information system, and the mentor approves, an extended abstract of the thesis (disposition), which should include the title of the thesis, a description of the problem, research questions, aims and theses, assumptions and limitations, intended methods, intended chapter structure (table of contents) and a list of intended literature and sources. The disposition should mainly give a broad overview of the field and the topic, the identification of the problem and the proposal for a solution to the problem. It should be intended as an introduction to the thesis.

Electronic submission of completed work

The completed thesis is reviewed by the mentor and the student submits the thesis to the student information system to be checked by a plagiarism checker. The deadline for submitting the final version of the thesis to the student information system is 20 July of the current year.

The defence takes place in front of a committee composed of the mentor and two higher education teachers. At least one member of the committee shall be from another laboratory.

Enrolment in the 2nd cycle is open until 13 September 2024 at the latest. Candidates wishing to continue their studies at the 2nd cycle must complete all the requirements of the 1st cycle by 6 September 2024.

Students can submit their topic registration electronically in the Study Information System (Studis) at any time of the year. According to a decision of the UL FE Senate, a student may submit a thesis topic after they have completed all the remaining study requirements of the programme they are enrolled in.

The content of the final topic and the way it will be done should first be discussed with your mentor.

Topic registration procedure

The first step in the Studis completition process is to register your topic. The conditions for being able to register a topic depend on the study programme. Once they have been met, you will see a link to register your topic at the top of the main page in Studis. The application process is as follows:

  • check your personal data carefully and inform the Student Office if there is a discrepancy. This information will be used in the printing of your diploma;
  • enter the mentor and any co-mentors. Selection is only possible if the mentor is not already too busy with the final theses;
  • the mentor will be notified by email when the topic is registered. Your topic submission may then be approved or rejected. You can follow the status in the "Completion of studies" section. In case the topic is neither confirmed nor rejected, please check with your mentor.

Deadlines for submission of theses, early defences and extensions of deadlines remain in accordance with the Examination Regulations.

Electronic submission of the final thesis

Once the thesis has been written and coordinated with the mentor, the mentor can allow the work to be submitted in the system. The student can only submit an electronic version of the thesis if it contains the following documents:

  • Front page (downloaded from Studis),
  • Dokument s kratko vsebino naloge (naložen iz Studisa),
  • Izjavo o avtorstvu (naložena iz Studisa in podpisana).

To submit, you must:

  • enter the Slovenian and English abstract of the work (the same as in the final thesis);
    enter the Slovenian and English keywords of the work (the same as in the final thesis);
  • indicate whether you allow UL to use your email address after the end of your studies;
  • naložiti PDF/A datoteko z zaključnim delom, naslovnico, temo in podpisano izjavo o avtorstvu.

Once you submit your thesis, it is checked for plagiarism using a plagiarism checker. The mentor is notified of the submission and the result of the check and must approve your submission.

The deadline for submitting the thesis in the system is at least 5 days before the scheduled defence, to give the members of the defence committee the opportunity to review and evaluate the thesis. The defence of the thesis may take place no sooner than 5 days after the date on which the mentor communicates the proposed members of the defence committee to the student office.

Once your mentor has approved your submission, you will be informed by email about the next steps in the graduation process.

Arrangement with the mentor

The content of the final topic and the way it will be done should first be discussed with your mentor. The mentor can only be a UL FE employee who has the habilitation of a higher education teacher. A co-mentor can also be a teaching assistant from the UL, a teacher from another member of the UL or from another university with which the UL has an agreement, or an expert from the practical field with at least the same level of education as the graduate of this study programme.

Final thesis in English

The language of instruction of the Faculty of Electrical Engineering's study programmes at cycle 1 and cycle 2 is Slovene. Exceptionally, a student may ask the Board of Studies to write the final thesis in English if:

  • the student does not have Slovenian citizenship, or
  • the student has prepared the final thesis under the supervision of a teacher from the foreign institution where the student has been on student exchange during the third year or additional year of the first cycle or the second year or additional year of the second cycle.

Students who meet any of the above conditions should submit their application form to studij@fe.uni-lj.si before the start of the final assign ment .
